2) What data we collect
Identity & contact: name, email, phone, country/region.
Coordination details: procedure interests, preferred dates, lodging preferences, traveling advice, language, documents you choose to share (e.g., summaries, referrals).
Professional info (for practitioners/partners): credentials, licenses, experience, affiliations.
Communications: messages, call notes, support tickets.
Technical data: IP address, device/browser info, pages viewed, cookies/pixels as described below.
Sensitive/health data: We try to minimize collection of health information. If coordination requires it, we collect only what you explicitly provide and process it with your consent or as otherwise permitted by law (e.g., vital interests in emergencies).
3) How we use your data (purposes & legal bases)
We process personal data to:
Provide and improve services (answer inquiries, coordinate next steps, evaluate clinics/practitioners).
Legal bases (EU/UK): Contract, Legitimate interests; health data on Explicit consent.
Operate, secure, and analyze our sites/apps (fraud prevention, debugging, analytics).
Bases: Legitimate interests (site security/usability), Consent for non-essential cookies.
Communicate (updates, newsletters, event invites) with opt-out any time.
Bases: Consent or Legitimate interests (B2B contact), depending on jurisdiction.
Comply with law (regulatory requests, recordkeeping).
Bases: Legal obligation; Vital interests in emergencies.
4) Sharing your data
We share data only as needed, with safeguards:
Service providers/Processors: hosting, email, CRM, analytics, security.
Clinics/practitioners/travel partners: only with your direction/consent to move coordination forward.
Insurance/financial partners: if you ask us to explore coverage/financing.
Advisors & authorities: legal, compliance, or where required by law.
Business transfers: if we merge, sell, or reorganize, consistent with this policy.
We do not sell personal data.
5) International transfers
We operate from the United States and may transfer data internationally. Where required, we use Standard Contractual Clauses (SCCs) (and the UK addendum) and implement additional safeguards. You can request a copy of applicable transfer mechanisms at privacy@mediglow.org (redactions may apply).
6) Cookies, pixels & analytics
We use essential cookies for site functionality and (with consent where required) analytics/measurement tools (e.g., Meta Pixel, Google Analytics).
In the EU/UK (and Québec for certain trackers), we show a consent banner.
You can adjust preferences via our Cookie Settings and your browser settings.
7) Data retention
We keep personal data only as long as necessary for the purposes above:
Inquiry records: 24 months from last interaction (unless you ask us to delete sooner).
Coordination records (if any): as required by contract/law; otherwise up to 7 years for audit/compliance.
Marketing preferences: until you opt out.
We then delete or irreversibly anonymize data.
8) Security
We use administrative, technical, and organizational measures (access controls, encryption in transit at a minimum, least-privilege, logging) to protect personal data. No system is 100% secure; please avoid sending sensitive medical details over social media or unencrypted channels.
9) Your rights
EU/UK: access, rectification, erasure, restriction, portability, objection, and withdrawal of consent; the right to lodge a complaint with your supervisory authority.
Canada: access, correction, withdrawal of consent (subject to legal limits), and complaint rights (including to the OPC or provincial commissioners).
How to exercise: email privacy@mediglow.org. We may request information to verify identity. We aim to respond within 1 month (EU/UK) or 30 days (Canada).
10) Children
Our services are not directed to children under 16 (or the age defined by local law). If you believe a child provided personal data, contact privacy@mediglow.org and we will delete it.
11) Third-party links & messaging
Our site may link to third-party sites. Their practices are governed by their policies.
Social messaging (e.g., Facebook/Instagram/WhatsApp): Please do not share protected health information via these channels. Use email or secure forms we provide.
12) Changes to this policy
We may update this notice from time to time. We will post changes here and update the “Last updated” date. Material changes may be announced on-site or by email.
